Pretend its real. If some are in the forest and some are in the trees then they won't be able to hear each other - though if those inside look out the window they may see those outside. If you come across a Clue (either inside or outside) it will become apparent in the thread, but everyone won't automatically "know" it - there are no clairvoyants among us. Leave the clue where you found it for other people to "find" or perhaps (if you want to co-operate with others) take it to the Library. Maybe a table can be set aside in there as a clue gathering place. It is up to you guys how you want to organise the clues, how you want to search for them and how much you tell each other.
For the sake of believablity, if someone finds something everyone else cant have a brainwave and go "hmm I think I'll go see what so-and-so is doing" (but a certain amount of that is ok of course - just be sensible about it)
The other thing is this - some Clues will not be able to be moved. Some Clues, once disturbed will not be able to be recovered. Some searchers will have the information that they have found a Clue PM'd to them - no-one else will know unless that person chooses to tell everyone.
In more direct relation to your question Zircon, If you were to enter the manor right now and speak to Proffessor Plum, you could post something to the effect of
Taking off his dripping cloak, he proceeded to tell Prof. Plum of their discoveries, and presented the ring for inspection
instead of recounting the whole thing in tedious detail.
